Requirements
Minimum educational qualification: Senior Certificate (or equivalent). Competencies (knowledge/skills): Knowledge of Public Service administrative procedures and office management. Knowledge of patient administration, referral pathways and medico-legal documentation. Knowledge of records management and confidentiality principles. Excellent organizational, planning and time management skills. Excellent written and verbal communication skills, including minute-taking. Computer literacy in Microsoft Word, Excel, PowerPoint and Teams. Ability to work independently and under pressure while managing multiple priorities. Ability to work accurately with attention to detail. Good interpersonal, customer service and problem-solving skills. Maintain strict confidentiality and professionalism. Knowledge of Public Health Systems Programmes (HealthNet, Clinicom, CAReS, PHCIS) or similar health information systems.
Duties
Provide comprehensive secretarial and executive support to Family Physicians and the multidisciplinary medical team. Coordinate diaries, meetings, leave administration, HR documentation and office administration. Provide clinical administrative support, including patient bookings, referrals, medico-legal documentation, HealthNet coordination and communication with patients and families. Oversee office communication processes, including telephone systems, call routing, message management and escalation of urgent matters. Coordinate operational administrative functions, including access control, overnight-room oversight, office supplies, quality improvement projects and general management support. Supervise, orientate and mentor Medical Secretary interns, including task allocation, performance feedback and completion of training documentation. Maintain accurate records and ensure confidentiality of all administrative and clinical information.
